Privacy Notice
Version v1.0 · Last updated 1 October 2026
Your privacy matters to us. This notice explains what personal information Sports Hub & Analytics handles, why, and the choices you have.
1. Who we are
Sports Hub & Analytics provides a platform that helps sport organisations record participation, demonstrate impact and connect with sponsors. This notice explains how we handle personal information in line with the Protection of Personal Information Act, 2013 (POPIA).
2. Information we collect
Account information: your name, email address, login credentials and the date and version of the Terms & Conditions and Privacy Notice you accepted.
Organisation information: details of the organisations you create or join, your role, and the declarations accepted on the organisation’s behalf.
Information organisations record: players and members (such as names, dates of birth, gender, contact and emergency contact details), team memberships, attendance, matches, development needs, finances and supporting documents.
Technical information: basic logs needed to operate and secure the service.
3. Our role and the organisation’s role
For information an organisation records about its players and members, the organisation is the responsible party and decides why and how it is processed. We process that information on the organisation’s behalf to provide the platform.
For your own account information, we are the responsible party.
4. Children’s information
Organisations must obtain consent from a parent or legal guardian before recording information about anyone under 18, and confirm that consent in the platform when adding such a player. Organisations should record only what is needed to run their sport programmes.
5. How we use information
We use information to provide and secure the platform, generate the dashboards, readiness scores and reports organisations ask for, enable sponsor connections the organisation has chosen, respond to enquiries, and meet legal obligations.
We do not sell personal information.
6. Sharing with sponsors
An organisation’s information is shown to sponsors only when the organisation switches on Open To Sponsorship, or to sponsors it already works with. Sponsors see organisation-level information — profile, readiness, operational metrics and development needs marked for sharing — and aggregated figures, not individual player records.
7. Service providers
We use trusted providers for hosting, database and email services. They process information only on our instructions and under appropriate safeguards, which may include storage outside South Africa where adequate protection is in place.
8. Security and retention
Access to information is restricted by organisation and role. We keep information for as long as the organisation’s account is active or as needed to meet legal requirements, after which it is deleted or anonymised.
9. Your rights
You may ask to access, correct or delete your personal information, or object to its processing. Where an organisation recorded the information, we will refer your request to that organisation. You may also lodge a complaint with the Information Regulator of South Africa.
10. Changes to this notice
When we make a material change to this notice we will ask you to review and accept the new version before you continue using the platform.
